HVAC maintenance reminder postcards are the contractor's recall list on card: every customer whose last tune-up was a season ago and who has nothing booked, reminded before the weather turns. The card should read like a diary message, not an advert: "Northline Heating and Air: your system is due for its fall tune-up before the heating season. Call 555-0188 or reply to this card's text to book a morning or an afternoon this month." It names the company, says the service is due rather than asking whether the customer wants one, gives a season for urgency without a scare, and offers two times. A card that leads with a discount teaches the customer to wait for the next discount; a card that leads with the date teaches them to book.
The timing against the two seasons
A heating tune-up reminder goes out in late summer, before the first cold morning fills the phone with breakdowns; a cooling tune-up reminder goes out in early spring for the same reason. Dantas et al. 2018 found lead time to be one of the two main determinants of a no-show across 105 studies, and the same logic runs the other way for recall: a reminder sent too far ahead of the season is filed and forgotten, one sent in the first heatwave is too late to book. Send the card six weeks before the season starts, and the text two weeks later to the customers who did not reply.
The text that does the postcard's job
The Cochrane 2013 review found mobile text reminders raised attendance from about 67.8% to 78.6%, risk ratio 1.14, and a text costs a fraction of a printed card and comes back with a reply the office can act on. For every customer who gave a phone number the text replaces the postcard: "Northline Heating and Air: your fall tune-up is due. Reply with a weekday and morning or afternoon and we will book it."
